This policy explains how FlowState (“we”, “us”) collects, uses and protects your personal information when you use flowdesign.co.za, in line with South Africa’s Protection of Personal Information Act 4 of 2013 (POPIA).

1. Who is responsible for your information

2. What we collect

We only collect what we need to run the site and look after our community:

• Account details: name, email address and password when you register.
• Listings and claims: event details, images, organiser contact details and any proof of ownership you upload when claiming a listing.
• Orders: billing and delivery details when you buy from the shop. Card payments are processed by our payment provider and we never see or store your full card details.
• Messages and forms: anything you send us through our forms or by email.
• Newsletter: your email address (and name, if you give it) if you subscribe.
• Technical data: IP address, browser and device type and pages visited, collected through cookies and similar tools.

3. Why we use it

• To create and manage your account and publish your listings.
• To process and deliver shop orders and give support.
• To send the newsletter and updates, only if you have opted in. Every email has an unsubscribe link.
• To keep the site secure, prevent spam and fraud and understand how the site is used so we can improve it.
• To meet our legal, tax and accounting obligations.

4. Who we share it with

We do not sell your personal information. We share it only with operators who help us run the site and only for that purpose, for example web hosting, email delivery and newsletter tools, payment processing, spam protection (such as Google reCAPTCHA), analytics and cookie-consent tools. We may also disclose information when the law requires it.

5. Information leaving South Africa

Some of our service providers store or process information outside South Africa. Where that happens we only use providers that protect your information to a standard comparable to POPIA.

6. How long we keep it

We keep personal information only as long as needed for the purposes above or as the law requires, for example financial records for tax purposes. After that we delete or anonymise it.

7. Keeping it safe

We use reasonable technical and organisational measures to protect your information, including secure connections (HTTPS), access controls and security monitoring. No online service is risk-free, so please use a strong, unique password.

8. Children

Flow State is not aimed at children and we do not knowingly collect information from anyone under 18 without a parent or guardian’s consent.

9. Your rights

You may ask us to:

• confirm what personal information we hold about you and give you a copy;
• correct or delete information that is inaccurate, out of date or no longer needed;
• stop using your information for direct marketing; or
• object to our processing of your information.
